GENERAL INFORMATION AND BOOKING CONDITIONS

SECTION ONE: DEPOSIT & PAYMENTS

Flexible Payment Plan

  • 30% deposit of the total confirmed booking value (excluding airline reservations) is required at confirmation to secure your booking.

  • 100% payment for airline reservations is required at the time of confirmation.

  • The remaining balance is due 60 days before arrival.

  • For bookings made within 60 days of arrival, full payment is required at confirmation.

  • Peak Season & Special Bookings: Some services may require different payment terms, which will be communicated at the time of booking.

Exceptional Refund Policy

  • Bookings canceled more than 30 days prior to arrival: Full refund minus a small administrative fee.

  • Bookings canceled between 30 – 16 days prior to arrival: 50% refund.

  • Bookings canceled within 15 days of arrival: Non-refundable.

  • Airline reservations are non-refundable due to airline policies.

  • Note: Flexible cancellation and refund policies apply in case of government-imposed travel restrictions or force majeure events.


SECTION TWO: PAYMENT METHODS

We accept the following secure payment options:

  • Bank Wire Transfer (USD, EUR, ZAR accounts available)

  • Credit/Debit Cards (Visa, MasterCard, American Express)

  • Secure Online Payment Link

  • We do not accept Diners Club at this time.


SECTION THREE: WHAT’S INCLUDED & EXCLUDED

Included in Your Booking:

  • Luxury Accommodations as per itinerary.

  • All Meals & Beverages as specified in your itinerary.

  • Private Transfers & Meet & Greet Services.

  • Exclusive Safari & Guided Excursions.

  • National Park & Conservation Fees.

  • 24/7 Concierge & Customer Support.

Not Included:

  • International and internal airfares unless stated.

  • Travel visas, airport taxes, and personal expenses.

  • Gratuities, additional meals, or beverages outside of the itinerary.

  • Travel insurance (strongly recommended).


SECTION FOUR: TRAVEL INSURANCE

We strongly recommend comprehensive travel insurance, including medical coverage, trip cancellations, lost luggage, and emergency evacuations. One Earth Travel Insurance is our preferred partner—ask us for details.


SECTION FIVE: FLEXIBLE CANCELLATION & UNFORESEEN CIRCUMSTANCES

While we strive to provide the exact itinerary as booked, unexpected changes due to weather, local conditions, or force majeure may occur. In such cases:

  • Alternative arrangements of equal or higher value will be made.

  • Full refunds will be provided if no suitable alternative is available.


SECTION SIX: PASSPORTS & VISAS

  • Passports must be valid for at least six months beyond your return date.

  • It is the traveler’s responsibility to obtain necessary visas and entry permits.

  • Failure to comply with visa requirements may result in denied entry.


SECTION SEVEN: LIMITS OF LIABILITY

Africa Sunsets acts as an agent for third-party providers such as hotels, airlines, and transportation services. We are not liable for:

  • Delays, cancellations, or disruptions caused by third parties.

  • Acts of nature, strikes, terrorism, or unforeseen government regulations.

  • Loss of personal belongings.

SECTION TEN: DISPUTE RESOLUTION

In the unlikely event of a dispute, we offer mediation and arbitration services in Cape Town, South Africa, ensuring a fair and transparent resolution process. Arbitration will be conducted in accordance with the rules of the Arbitration Foundation of Southern Africa, and both parties will bear their own costs unless otherwise determined by the arbitrator.
